Join our team as a new Corporate Programs Event Manager as we rebuild during an exciting 2022! During the pandemic, we shifted to virtual programming which has been a hugely successful campaign. With the market re-opening, we are offering in-person events once again as we help reconnect teams in this vital time for our society.
The Program Event Manager will handle the program and logistics coordination for both virtual and in-person events. A typical week would be spent on program planning and coordination, and while also preparing materials for in-person programs or handling shipping needs for virtual programs. This position would be ideal for an event planner who enjoys details and planning, but also likes to be on their feet and not just behind a desk.
Job Function/Responsibilities
Event Planning and Coordination
- Daily communication with clients, venue coordinators, non-profit organizations, vendors and contractors, event staff, and supply outlets for appropriate event coordination
- Creation of the event paperwork and all other program materials for both in-person and virtual programs
- Example of paperwork/materials for in-person programs
- - Program plan and Event calendar for Staff
- Pack out lists
- Client facing marketing materials
- Permits for public spaces, as needed - Example of paperwork/materials for virtual programs:
- Program plan
- Zoom meeting setup
- Slide decks
- Game app codes - Produce virtual events using virtual meeting platforms (Zoom, Cisco WebEx, MS Teams, Google Meet) and/or support on-site for in-person programs
- Purchase program supplies and book staff travel as needed, and within budget
- Represent Onyx in marketing and networking events, as needed
- Support Operations Manager and Program Coordinators in program quality enhancement initiatives
Logistics and Shipping Coordination
- Responsible for all pre and post in-person program logistics including:
- Virtual Program Shipping
- Ordering, repacking, and shipping supplies to participants for virtual program kits (ie: chocolate tasting, coffee tasting, painting supplies) - In-Person Program Pack-Outs and Gear Organization
- Creating program pack out lists and pulling the necessary gear from the warehouse
- Purchasing supplies for programs
- Working with outside vendors, sourcing when needed
- Loading and unloading cargo vans of gear for programs - Program de-rig of all gear to its proper place
- Site permitting & vendor reservations as assigned
- Program-specific paperwork
- Organization of participant paperwork including medical and waiver
forms
- Organization of program plans, and staff/client paperwork
Necessary Minimum Qualifications:
- Exceptional customer service and client management skills
- At least two (2) years of event management experience
- Ability to manage staff and facilitators onsite, lead event briefings
- Ability to manage multiple projects and meet multiple deadlines at once
- Ability to accomplish projects with little supervision
- Ability to commit to a flexible schedule within regular weekly work hours; occasional weekends; occasional travel around the country
- Extremely high attention to detail and strong organizational skills as well as excellent communication skills
- Intermediate computer skills (Mac and Google Suite) and familiarity with virtual meeting management platforms (Zoom, MS Teams, and Google Meet)
- Must have valid driver’s license
- Must be able to lift up to 40lbs
- Experience managing vendors
- Capability to manage stressful situations and ability to remain professional and patient with clients
- Able to adapt and be flexible, think outside the box, enjoys problem solving
